Finance Reports & Board Pack

Standard financial reports for any date range, and the Executive Board Pack that pulls finance together with livestock, workforce and compliance data for a single executive summary.

Part A

Finance Reports

Found at Reports → Finance Reports. Pick a date range — preset pills (This Month, Last Month, This Qtr, Last Qtr, YTD, Last Year) or two manual dates — then click Apply. Five tabs:

  • Profit & Loss — Total Revenue, Total Expenses, Net Profit/Loss with margin, a revenue-vs-expenses breakdown, and an expense-ratio health bar.
  • AR Aging — total outstanding receivables broken into Current, 1–30, 31–60, 61–90, and 90+ days buckets, plus a per-invoice table with days overdue and severity.
  • AP Aging — the same structure for what you owe.
  • Tax Summary — Output Tax Collected, Input Tax Paid, and Net Tax Payable (Output minus Input — what you owe SARS), with a reminder to submit by the applicable VAT return deadline.
  • Expenses — total claims and amount, broken down by status.

Every tab has an Export {tab name} button that downloads that tab's data as a CSV file.

Part B

Executive Board Pack

Found at Reports → Board Pack. This pulls together finance, livestock, workforce, project and compliance metrics for a period into one executive summary — meant for owners, boards, or your accountant, not just raw finance numbers.

Five modes: Overview (the generated pack itself), Pack Builder (configure and generate a new one), Risk & Exceptions (a risk radar grouped by severity), Generated Packs (your history), and Scheduled Packs (existing schedules, read-only — see below).

B.1 Generating a pack

  1. Set Period from / Period to, and pick an Audience — Owner/Director, Accountant, Farm Manager, Board/Investor, Compliance/Vet, or Authority-facing Summary. The audience changes which sections get included by default (e.g. an Accountant pack focuses on Finance, Profitability and Risks; a Compliance/Vet pack focuses on Livestock, Compliance and Risks).
  2. Click Generate Pack, or open Pack Builder to name the pack, fine-tune which sections are included, and choose an export format.
  3. Click Generate Board Pack. The new pack appears under Generated Packs with a Download button.

The Overview tab shows executive cards (Net Profit, Cash Position, Receivables, Payables, Herd Value, Animals at Risk, Compliance Score, FMD Coverage, Workforce Capacity, Open Risks, Project Blockers, Data Confidence — click any to jump to its detail), an auto-generated narrative (Key Wins, Key Concerns, Decisions Required, Recommended Actions), and section detail across Finance Summary, Livestock & LITS, Profitability, Workforce, Projects & Delivery, Compliance & Risk, and a Decision Queue.

B.2 What's really live — read before you rely on these buttons

Board Pack has several buttons whose labels are more ambitious than what they currently do. To use this page accurately:

"Export PDF" downloads a JSON file, not a PDF. Despite the label and icon, this button generates the pack in JSON format. There is no PDF export today.
"Export Excel" downloads a CSV file, not an .xlsx workbook. Same underlying generator, CSV format instead of JSON.
"Share with Accountant" doesn't send anything. It shows a confirmation message only — no pack is actually emailed, shared, or delivered anywhere. Download the pack yourself and send it however you normally would.
"Schedule Monthly Pack" doesn't create a schedule. It switches you to the Scheduled Packs tab, which can display schedules that already exist — but there is currently no button or form anywhere on this page to actually create a new one.
The "What changed since last pack?" figures are illustrative, not live. The five change badges shown above the executive cards (e.g. revenue or compliance movement) are not yet computed from your real data period-over-period — treat them as a preview of the feature, not a real comparison, until this is confirmed live.

Everything else — the executive cards, the narrative, the section detail tabs, the Risk Radar, and JSON/CSV downloads themselves — reflects real data generated at the time you click Generate.

Troubleshooting

Troubleshooting & FAQ

I clicked "Export PDF" and got a .json file. Is that a bug?

No — that's the current behaviour. "Export PDF" and "Export Excel" both generate data files (JSON and CSV respectively), not PDF or Excel documents, despite their labels.

I clicked "Share with Accountant" — did my accountant just receive the pack?

No. That button only shows a confirmation toast on your screen; nothing is sent. Download the pack and share it yourself.

How do I set up a recurring monthly board pack?

Not from this screen currently — there's no create-schedule form here yet, even though a Scheduled Packs tab exists to display schedules that were set up elsewhere.

My board pack says "Your board pack is not ready yet."

There isn't enough underlying data for the selected period yet. Use "Review Missing Data" to see what's needed, or "Generate Draft Anyway" to produce a pack with whatever is available.
