Stock Control

Track on-hand inventory value and quantity across warehouses, record stock movements, and use reorder signals and ABC analysis to know what to buy next.

What this guide covers: the Stock Control screen at Finance → Stock — reading inventory levels, recording a stock movement, and setting up the stock items, warehouses and categories underneath it.

What it doesn't cover: your billing catalogue — Stock Control's "Stock Items" are warehouse-tracked inventory records, a separate concept from the "Items" catalogue used on invoices and bills (see Accounts, Contacts & Items), though a catalogue item can be marked to track stock quantity.

What you're looking at

The header shows Total Inventory Value, 90d Turnover, Days of Supply, and a GMROI Estimate (gross margin return on inventory). Below that, three intelligence panels once you have data:

  • ABC Analysis — classifies items into A (top 70% of value), B (next 20%), and C (the rest), so you know which stock actually matters most.
  • Value by Warehouse — a stacked view of where your inventory value sits.
  • Stock Health — counts across In Stock, Low Stock, Out of Stock, and Overstocked.

A Reorder Signals panel appears whenever items are low or out of stock — a priority purchasing queue suggesting how much to order, per item per warehouse.

Four tabs organise the detail: Inventory Levels (on-hand/reserved/available by item and warehouse, filterable by warehouse, category and status), Stock Items (your inventory catalogue with ABC badges), Warehouses, and Categories.

Recording a movement

Click Record Movement. Choose a movement type — Stock In, Stock Out, Adjustment, Return, or Write-Off — then the Stock Item, Warehouse, Quantity, an optional Unit Cost, a Reference / PO Number, and optional Notes. A live preview shows exactly how the quantity will change before you confirm.

Transfers between warehouses aren't available from this screen. "Transfer" exists as a concept in the system but isn't one of the selectable movement types here — if you need to move stock between warehouses today, record it as a Stock Out from one and a Stock In at the other.

Stock items, warehouses & categories

The Stock Items tab is where you register what you're actually tracking — click Add Item for a Name, SKU/Code, Category and Unit Cost. Warehouses and Categories tabs work the same way — Add Warehouse (Name, Code, Description) and Add Category (Name, Code, Description) — set these up first since Stock Items reference a Category, and Inventory Levels reference a Warehouse.

Status vocabulary

StatusMeaning
In StockHealthy quantity on hand.
Low StockOn-hand quantity is low (10 units or fewer) — a candidate for the Reorder Signals queue.
Out of StockNothing on hand.
OverstockedUnusually high quantity on hand (over 500 units).

How do I move stock from one warehouse to another?

Record a Stock Out movement at the source warehouse and a Stock In at the destination — a dedicated Transfer action isn't available on this screen yet.

What counts as "Low Stock"?

Ten units or fewer on hand, at the specific warehouse. "Overstocked" is the opposite signal — over 500 units on hand.

Why can't I add a Stock Item to a Category that doesn't exist?

Categories are set up first (Categories tab), then referenced when creating a Stock Item — the same ordering as Warehouses.
